I'm a procurement manager at a 420-person energy equipment company. I've managed our hydraulic and pneumatic components budget—$1.4M annually—for 8 years, negotiated with 30+ vendors, and tracked every order in our cost system. I'm not a Parker employee. I'm the person who signs the PO.

This checklist is for buyers evaluating Parker-Hannifin components: industrial fluid connectors, hydraulic and pneumatic parts, seals, and filtration. It also works if your shortlist includes Thomas, Valley, or Hawk quotes. Seven steps. No fluff. Use it before you approve a trial order.

Step 1: Define the application envelope before you talk price

Most buyers start with price. That's backwards. If you don't define the application envelope, every quote looks comparable—until it isn't.

Write down: pressure range, flow rate, fluid type, temperature range, duty cycle, ambient conditions, and required cleanliness. For hydraulic systems, reference ISO 4406:2021 cleanliness codes in the spec. For fittings, confirm thread and port standards—SAE J514 and J1926 are common in North American hydraulic systems.

Don't treat that as a slogan. Turn it into questions:

  • Engaged people: What's the tenure of the local application engineering team?
  • Premier customer experience: What's the quoted response time for technical questions? Is it in the contract?
  • Profitable growth: Is the vendor investing in capacity, or just promising it?
  • Financial performance: Can they support a multi-year program without changing terms mid-stream?

Why does this matter? Because a Win Strategy scorecard tells you whether the vendor can execute after the PO is signed. Not just whether they can quote.

Checkpoint: Ask for three specific KPIs tied to your project—on-time delivery, first-pass yield, and technical response time. If they won't put them in writing, that's data too.

Step 3: Build a TCO model that includes hidden fluid power costs

Unit price is the smallest number in the room. I learned that when I compared two vendors for a valve package. Vendor A quoted $12,400. Vendor B quoted $10,900. I almost went with B. Then I added freight, expedite fees, seal kits, filtration changeouts, and downtime risk. B's total landed cost was $14,100. A's was $12,900. That's a 9% difference hidden in the details.

Your TCO model should include: unit price, freight, duties, payment terms, inventory carrying cost, changeover time, leak risk, filtration cost, warranty response, admin hours, and disposal. For mining and energy equipment, add downtime cost per hour. It's usually the biggest number.

Checkpoint: Calculate 3-year TCO, not first-order cost. Use your own labor rate and downtime estimate. Don't accept the vendor's TCO calculator.

Step 4: Check the people side—Value Stream Team Leader salary and turnover

This is the step most procurement teams skip. They shouldn't.

Rows to include: pressure rating, flow coefficient, seal material, body material, port size, temperature range, filtration rating, leak rate, cycle life, lead time, MOQ, warranty, traceability, and documentation. Mark each cell as 'confirmed in writing,' 'verbal,' or 'unknown.' Unknown cells are not zeros. They're risk.

I won't tell you which brand wins. That depends on your application. But I will tell you: the Thomas vs Valley vs Hawk comparison only becomes useful when every quote is forced through the same spec sheet. Otherwise you're comparing marketing.

Checkpoint: Require each vendor to fill out your matrix, not their own. If they refuse, that's a scoring penalty.

Step 6: Verify cleanliness, filtration, and sealing specs in writing

This is the ignored step. A hydraulic component that meets pressure and flow specs can still fail if cleanliness and seal compatibility are wrong.

Reference the cleanliness code from Step 1. For hydraulic systems, ISO 4406:2021 gives you a standard way to specify particle contamination. For filtration, ask for beta ratio at the target micron size—not just 'high efficiency.' For seals, confirm elastomer compatibility with your fluid, temperature, and pressure. They warned me about seal compatibility. I didn't listen once. We saved $300 on a seal material and ate a $2,800 cleanup and downtime event. Reverse validation is expensive.

Checkpoint: Put cleanliness, beta ratio, seal material, and test documentation requirements directly on the PO. No 'per industry standard.' Write the standard number and acceptance criteria.

Step 7: Run a 90-day pilot with a documented exit plan

Don't switch your whole line on a promise. Run a 90-day pilot on one or two machines or production cells. Agree on success metrics before you start: on-time delivery, quality escapes, technical response time, and total cost per cycle.

Most contracts don't fail because of price. They fail because nobody planned the exit. Document what happens if the pilot fails: who pays for return freight, how inventory is counted, when tooling is returned, and how long you have to transition.

So glad I wrote an exit plan into a pilot last year. The vendor missed two deliveries in month one. We ended the trial in 10 days with no penalty. Without that clause, we'd have been stuck for a quarter.

Checkpoint: Pilot success criteria, exit triggers, and transition responsibilities signed before the first order ships.

Common mistakes and warnings

  • Starting with price: It makes Thomas, Valley, Hawk, and Parker-Hannifin quotes look comparable when they aren't.

An informed buyer asks better questions and makes faster decisions. That's the whole point. I'd rather spend 20 minutes building a TCO model than 6 months managing a bad vendor relationship. You don't need perfect data. You need consistent data. Run the checklist. Then decide.
